How to connect Xero or QuickBooks to Paidnice
Connect your accounting system so Paidnice can read your invoices and contacts. Takes about two minutes.
Updated 25 September 2026
Paidnice works by reading invoices and contacts from Xero or QuickBooks Online. Nothing is sent to your customers and nothing changes in your accounting system until you turn on a workflow and approve it.
Before you start
- You need a Paidnice login. If you do not have one yet, sign up first.
- You need access to the Xero organisation or QuickBooks company you want to connect, with permission to authorise third party apps.
Connect for the first time
- Sign in to Paidnice. If no organisation is connected yet, the dashboard shows a card titled Get started: connect to Xero or QuickBooks.
- Click Connect for Xero, or Connect to QuickBooks for QuickBooks Online.
- You are taken to Xero or Intuit to sign in. Choose the organisation or company you want to connect and allow access.
- You are returned to Paidnice. A short setup wizard asks about your business and which automations you want to try. Everything it creates is a draft, so nothing goes out to customers until you approve it.
Xero lets you tick more than one organisation on the consent screen. Each one becomes a separate Paidnice organisation.
Connect another organisation
Open the organisation switcher at the top of the page and pick + Connect to Xero or + Connect to QuickBooks. The same sign in and consent steps run again for the new organisation.
Extra organisations can be added to a Pro plan for a small monthly fee each. See the Billing page for the current price.
Joining an organisation someone else already connected
If a colleague has already connected your organisation, connect the same organisation from your own login using the steps above. Paidnice matches it to the existing setup and gives you access instead of creating a duplicate. The other way in is to be invited by email, which does not need your own Xero or QuickBooks login. See Users and access.
Check or change the connection
Go to Settings, General, Advanced and open the Connection tab. The Accounting Connection section shows the organisation name and whether it is connected to Xero or QuickBooks.
- If Paidnice reports a problem talking to your accounting system, click the reconnect button shown there or in the organisation switcher. Your groups, policies, templates and settings are all kept. Scheduled actions are recalculated and a full sync runs. See Users and access for the details.
- To disconnect, click Disconnect and confirm. Paidnice stops receiving updates and your customers lose access to the customer portal. Disconnecting does not cancel a subscription. Cancel that from the Billing page. See Plans and billing.
Once connected, the next steps are in How Paidnice works. To take payments through the portal as well, see How payments work.
Something went wrong
- Could not connect QuickBooks, please try again: the sign in session expired. Start again from the Connect button.
- Something went wrong when trying to connect to Xero: try again in a few minutes. If it keeps happening, contact support with the name of the Xero organisation.
